Job Description

The Assistant Secretary will be responsible for providing high-level administrative support to executives and management team. This role involves managing calendars, scheduling meetings, handling correspondence, and maintaining organized records. The successful candidate will serve as the first point of contact for clients and visitors, representing the company professionally.

Key aspects of this role include managing complex scheduling, coordinating travel arrangements, preparing meeting materials, and ensuring all administrative tasks are completed efficiently and accurately.

Key Responsibilities

  • Manage executive calendars and schedule meetings across multiple time zones
  • Answer and direct phone calls with professionalism
  • Handle incoming and outgoing correspondence (email, letters, packages)
  • Prepare meeting agendas, minutes, and presentations
  • Organize and maintain filing systems (physical and digital)
  • Coordinate travel arrangements including flights, hotels, and transportation
  • Manage expense reports and budget tracking
  • Coordinate office logistics and event planning
  • Assist with payroll processing and documentation
  • Maintain confidentiality of sensitive information
  • Support senior management with daily administrative tasks
  • Liaise with internal and external stakeholders
  • Manage office supplies and vendor relationships
  • Assist in onboarding new employees
  • Perform other duties as assigned by management

Requirements

  • Minimum 2-4 years of experience as a Secretary or Administrative Assistant
  • Experience in healthcare or medical sector is an advantage
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Professional phone manner and email etiquette
